The Shipping/Receiving Scheduler reports to the Transportation Team Lead and works within the scope of their training, education, experience, and skills to accomplish assigned tasks.
This position carries out responsibilities for all or part of these areas:
Scheduling and coordinating Essco van pickups and deliveries.
Pick and prep outbound shipments for the following day. Place on assigned cart.
Examine shipments to ensure they match the customer paperwork and accurately receive orders.
Coordinate with 1st shift Driver Team Leader to optimize route planning.
Receive inbound purchase orders into IndySoft and QuickBooks
- Organize outbound shipments on the outbound shelves by customer and work order, (grouping) and statusing orders by van, courier, pickup (shipping type). Determine the status of partially completed shipments by WO and decide whether to ship a partial or hold until additional items are completed. Ensure accuracy by confirming:
Control numbers.
Work Order numbers.
Print packing slips for all outbound van deliveries and customer pickups.
Notify customers when a pickup order is ready to be picked up.
Respond to customers that come onsite for pickup and drop off.
Work with Lab and Customer Service representatives to reconcile issues and track and expedite date-sensitive calibrations when necessary.
Invest in personal development to upgrade knowledge through networking, workshops, seminars, and books.
Duties and Responsibilities:
Work with Customer Service and the Lab to resolve discrepancies.
Work with the Lab and Customer Service to expedite instruments to keep multi-item shipments together.
Keep the loading dock, shipping/receiving, and personal work area clean and organized.
Maintain organization of instruments on incoming and outgoing shelves.
Receive, stock, and/or deliver goods, other supplies, and Essco PO’s.
Understand the details of customer PO, technical literature, and work orders.
Complete required documentation with strict attention to detail and accuracy.
Perform other related duties as assigned.
Required Skills/Abilities:
Able to make independent decisions with a defined scope of work, seeks clarification and direction when needed. Must be self-driven and demonstrate the ability to work with little direction.
Work according to deadlines while continuing to meet quality and volume standards.
Basic computer skills in a Microsoft Windows environment. Excel, SharePoint, and Teams experience preferred.
Experience using enterprise software such as IndySoft, QuickBooks, and Paylocity.
Working knowledge of pertinent ISO/IEC 17025 requirements.
Effective oral and written communication.
Good interpersonal skills such as active listening, teamwork, dependability, motivation, flexibility, patience and empathy.
Operate with a high level of integrity.
Good organizational skills and the demonstrated ability to prioritize and accomplish goals while working across departments is essential.
Understanding and awareness of safety requirements and safe practices.
Education and Experience:
High school graduate/GED. Relevant work experience may substitute for education.
0-2 years of relevant work experience in logistics and inventory management.
Proven ability to process a high volume of daily transactions efficiently and accurately.
Physical Demands:
Sit, stand, and walk.
Use hands and fingers to perform test activities and to manipulate keys on a keyboard.
Reach with arms and hands.
Moderate to heavy lifting up to 80 lbs.
Vision abilities required in this job include close vision, which requires focusing one's eyes on a nearby object for prolonged periods of time.
Work Environment:
Professional warehouse environment.
Potential exposure to moving mechanical parts, pressurized cylinders, chemicals, and high voltage power.
Routinely use office equipment including computers, copiers, and phones.
Noise level is usually quiet to moderate.
